Rules for Online Examination Aug 2020 SEE

  1. Semester End Examination for theory courses will commence from 17th August 2020. Examination duration is 3 hours. It is paper pen examination as usual.
  2. Student must have PC with web camera and smart phone compulsorily (with QR code App in Smart phone and at least 2 GB free memory space, sufficient data pack at least 3 Gb) with good internet connectivity.
  3. Make proper chair and table arrangements in a noise free environment.
  4. Make sure that the place where you are writing the online examination should be conducive for the proctoring, like there should not be light falling on the camera making your face to dark and invisible to the proctor, noisy environment, etc.
  5. Forwarding the emails received during the examinations to any friends or any third party is illegal and liable for disqualifying from the examination as per college norms.
  6. You need to make an arrangement for 20 A4 size white sheets, with a margin of 1 INCH on the left side and 2 INCH on the top side. Write your Name, USN, and Subject Code on the top LEFT corner, and write the Page number, Date, Signature at the top RIGHT corner. This is to be written on both sides of all the sheets. This makes your homemade Answer booklet of 40 pages. This should be ready before the beginning of the examination. Design cover page per the instruction.
  7. Strictly follow the instructions given by the Proctor during the examination.
  8. You have to show your identity proof to the proctor at the start of the examination. Identity proof may be ID card issued by the college; in case you are not carryinsg the college ID card any State government or Central government issued original identity card is to be shown to the proctor.
  9. You have to keep video and mic ON. In case you switch OFF (mute) your video/mic you will receive warning from the proctor and despite of several warnings from the proctor if you do not turn on video/mic then you may be disqualified from the examination.
  10. You may have to enter the necessary details like name, phone number, teacher name, USN, registered email ID etc., before taking the online examination in the specified format. If these details do not match with the admission details given by you, then the college shall disqualify you from the examination.
  11. Write answer for each question on a new page so that it can be uploaded independently. Write question number and subpart of the question when you move from the present page to next page while writing the answer.
  12. Write your answers using black ball point pen. Only hand written answers including text and diagrams drawn with the pen/pencil will be accepted.
  13. At the end of the examination, before scanning the last page, write total number of pages used at the end and put your signature with date.
  14. You will be shared with the proctor’s phone number in the beginning of the examination. If there are any issues during the ONLINE examination, communicate immediately to the respective proctor.
  15. You are allowed to use your mobile phone during the examination, only for the purpose of uploading your scanned answers but not to browse any websites; in the case of finding such activities noticed by the proctor, it will be treated as malpractice.
  16. Online examination will start 15 minutes earlier to the examination schedule in order to join for video conferencing (for proctoring), showing your examination seating place, identity proof, blank answer sheets, adjusting video for your face identification to the proctor and for proctor to issue the necessary instructions.
  17. You will get complete 3 hours to write the examination. Online examination will be concluded 15 minutes after the examination schedule and this time is provided in order to scan your answers and upload it in online examination tool. Answer sheets need to be scanned in portrait style with plain background.
  18. All the examination process will be video recorded. Later in a video if you are found with any kind of copying then you may be booked for malpractice.
  19. Before signing up for the online examination you should have taken the mock and practiced extensively. It is assumed that you have undergone the mock training and the technical expert has resolved the problems faced during the mock session such that you can use the tool to write the examination with familiarity and confidence.
  20. With all this preparation and correctness of your computer and the software, if there is a chance that you may be disconnected or miss out to upload your answers to the examination tools properly,  the same is to be communicated immediately to the CoE quoting the reasons. The college shall verify whether the reasons are genuine or not. In the case of genuine reasons, the college may be considerate at its discretionary to safeguard the interest of the students with suitable provisions and this will be on case basis.
  21. Having read and understood the requirements from your end and rules of online examination, you are at your liberty to make the choice for mode of exam i.e. online or offline.
  22. Once you opt online mode, it will be for all the subjects and you are not permitted to change mode of exam in the mid way.
  23. You are required to preserve the physical answer sheets of all the subjects and must be ready to send to the college based on the instructions given by the college after the examination.
  24. Remember you are under monitoring during the examination and required to uphold the academic honesty and integrity.
  25. The decision of the college is final in respect of any issue that surface in conducting /attending the online examination.

Roles and Responsibilities of the office of the Controller of Examinations:

  • Conduct fair and timely examinations as per the academic calendar of the college.
  • Appoint examiners for the setting of question papers and evaluation for theory courses.
  • Compilation of marks, timely declaration of results and issue of marks statements.
  • Presents result analysis report before Academic Council for its approval for the award of degree to the qualified candidates during convocation every year by the Visvesvaraya Technological University, Belagavi.

Provisional degree certificate (PDC): A provisional degree certificate is issued to a candidate by the college stating that the candidate has fulfilled the graduation requirements. It can be used until the original degree certificate is issued by the Visvesvaraya Technological University, Belagavi.

  • During the Graduation Day Ceremony, provisional degree certificate will be issued to the qualified candidates.
  • However, the non-qualified candidates have to submit an application, as and when they are qualified.
  • You should have your college Identity card (any other Identity proofs issued by the government in case you are an alumnus) whenever you interact with the Office of the Controller of Examinations.

Duplicate Provisional Degree Certificate: Duplicate provisional degree certificate will not be issued once the degree certificate is issued by the Visvesvaraya Technological University, Belagavi.

  • Enclose original police FIR regarding the lost Original Documents.
  • Enclose original Affidavit on Stamp paper of Rs. 20, mentioning the details of USN, Name, Month and Year of Examination of completion of degree and requesting the concerned authority for the issue of DUPLICATE of the same. If original is found at the later date of issue of duplicate it should be returned to SDM College of Engineering and Technology, Dharwad.
  • UG candidates to enclose a copy of I to VIII Semester grade cards attested by the Head of the Department, PG candidates to enclose a copy of I to IV Semester grade cards attested by the Head of the Department and Fee paid receipt.
  • After the submission of the application, modification in the application will not be entertained.

Transcript: It is an official written record of your academic history at this college. It includes course codes and course titles, grades obtained and credits earned. Transcripts also show your cumulative grade point average (CGPA). The transcript contains final grades of all semesters passed at the time of applying for transcripts, provided there are no backlogs.

Provisional Grade Sheet: Provisional grade sheet will be issued only after the announcement of makeup examination revaluation result for semester-end examination and supplementary semester examination revaluation result for supplementary semester examination. Provisional grade sheet will not be issued once the grade card is printed for the examination you are requesting.

Grade Card: There is no fee for the Original Grade Cards. Notification will be given whenever they are ready to be issued. Grade cards will be issued in the department. If your grade card is not found in the department, then submit the written application for the same at the Office of the Controller of Examinations. You should have your college Identity card (any other Identity proofs issued by the government in case you are an alumnus) whenever you interact with the Office of the Controller of Examinations.

Procedure to collect original grade card:

  • The student has to collect in person his/her original grade card by showing the college identity card. Put your signature for having received the original grade card in the list available at your department.
  • If you can’t come in person, then you can send an authorization letter, your college identity card, and your self-attested Aadhar card mentioning on it for the issue of your original grade card, through a person authorized by you. The authorized person who comes to collect your original grade card should also submit a copy of his/her Aadhar card with a written statement on it as “I have collected the original grade card of Mr./Ms. ____ bearing USN: _____ for the semester ____ of Examination ______ on _______” followed with authorized person signature. The statement should be written while receiving your grade card.

Duplicate Grade Card:

Revaluation Form: If the candidate is aggrieved of the grades declared, he/she may apply for the revaluation.
